Privacy Policy

FixHos ("we", "us", "our") provides AI-assisted ticket management for short-term rental hosts. This Privacy Policy explains what information we collect, how we use it, and the choices you have. By using FixHos at fixhos.com, you agree to the practices described here.
1. Information we collect
We collect the following categories of data:
- Account data — email address, name, and authentication identifiers from sign-in providers (Google, Microsoft, or email/password).
- Property and operations data you provide — listings, technicians, playbook rules, and configuration.
- Email and messaging data — when you connect a mailbox or a messaging channel (Gmail, Outlook, Telegram, WhatsApp), we read incoming messages related to your rentals so we can classify them and draft replies.
- Usage and diagnostic data — basic logs (timestamps, error traces) needed to operate and debug the service.
2. Google user data (Gmail)
When you connect a Gmail account, FixHos requests the OAuth scopesgmail.readonly,gmail.send, anduserinfo.email. We use these scopes solely to:
- Read incoming messages so the AI can classify and draft a reply.
- Send replies on your behalf, only after you approve them (or, if enabled, via auto-send rules you control).
- Identify your account via your email address.
FixHos's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We do not use Google user data for advertising, we do not sell it, and we do not let humans read it except (a) with your explicit consent, (b) to comply with applicable law, or (c) for security or abuse investigations.
3. How we use your data
- Operate the ticket triage and AI reply features you signed up for.
- Dispatch maintenance requests to technicians you configure.
- Improve reliability and detect abuse.
- Communicate with you about service-related issues.
We do not use your messages or property data to train third-party AI models. AI inference is performed via the Anthropic API under their data processing terms; prompts are not used by Anthropic to train their models.
4. Sharing
We share data only with the sub-processors required to run the service:
- Google Firebase — authentication, database, hosting.
- Anthropic — AI classification and reply drafting.
- Resend (and/or Mailgun, Postmark) — outbound email delivery.
- Telegram / WhatsApp — when you opt in to those channels.
We do not sell personal data.
5. Retention
We keep your account and ticket data while your account is active. You can disconnect a mailbox at any time from Settings; doing so revokes our OAuth tokens and stops further reads. On account deletion we remove your data within 30 days, except where retention is legally required.
6. Your rights
Subject to applicable law (including the GDPR for EU/EEA users), you can request access to, correction of, or deletion of your personal data. To exercise these rights, email us at privacy@fixhos.com.
7. Security
Data is stored on Google Cloud infrastructure, encrypted in transit (TLS) and at rest. OAuth tokens are stored encrypted. Access to production data is restricted to authorized engineers.
8. Changes
We may update this policy as the service evolves. Material changes will be communicated by email or in-app notice before they take effect.
